You are a highly organized and proactive administrative professional who keeps office operations running smoothly. You are comfortable managing multiple priorities, coordinating technology and facilities needs, and providing excellent service to staff, visitors, and clients. This Position Pays: $26/hr

What You Will Be Doing

  • Oversee daily office operations to ensure a clean, organized, and welcoming environment for staff, clients, and visitors
  • Manage office supplies, equipment, and inventory; coordinate repairs and maintenance requests
  • Serve as the East Bay liaison for office-related service vendors (utilities, property management, copiers, janitorial services, phones, etc.)
  • Process and route accounts payable invoices, petty cash requests, mileage, and expense reimbursements
  • Serve as Site Technology Coordinator by assisting staff with IT-related questions, troubleshooting, and maintaining technology inventory
  • Coordinate agency inspections, maintenance requests, and office safety procedures
  • Maintain agency vehicle logs, calendars, and key access
  • Support onboarding for new staff, including coordinating email, phones, keys, and required documentation
  • Assist clinical teams with referral and intake tracking and data entry
  • Participate in the Health and Safety Committee and share relevant updates with staff

What You Bring

  • High school diploma required; bachelor’s degree preferred
  • At least 1 year of administrative or office management experience (nonprofit preferred)
  • Strong organizational skills with the ability to prioritize, multitask, and manage competing deadlines
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and general office technology
  • Ability to provide basic IT support and coordinate with technology resources
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with the ability to work effectively with staff, clients, and community stakeholders
  • Interest in supporting a diverse community of Transition Age Youth (TAY), including youth of color, LGBTQ youth, and youth with disabilities
  • Valid California driver’s license, reliable personal vehicle, and ability to meet agency insurance requirements
  • Ability to obtain Community Care Licensing fingerprint clearance (DOJ, FBI, and Child Abuse Index)
