TEMPORARY EXECUTIVE ASSISTANT
You are a highly organized, tech-savvy Executive Assistant who thrives in a fast-paced and collaborative environment. You are comfortable supporting senior-level executives, managing complex calendars and schedules, coordinating meetings and events, and handling confidential information with professionalism and discretion. Strong experience using MacBook/Mac OS and Microsoft Office Suite is preferred.
Location: Novato, CA | 100% On-Site, 5 Days/Week
Duration: Mid-September through December
Pay Rate: $35–$38/hour
What You Will Be Doing
- Manage and maintain the CSO’s complex electronic calendar, appointments, meetings, and events.
- Coordinate domestic and/or business travel, itineraries, reimbursements, and expense-related documentation.
- Draft, edit, and send correspondence and letters on behalf of the CSO.
- Provide administrative support for faculty, educational, training, and scientific programs and activities.
- Provide executive support to members of the Executive Team, including scheduling, correspondence, data processing, purchase orders, check requests, and reimbursements.
- Resolve complex scheduling conflicts by evaluating competing priorities and making sound decisions.
- Serve as backup administrative support for other lab coordinators as needed.
- Respond professionally and efficiently to internal staff, external contacts, and occasional urgent issues outside normal business hours.
What You Bring
- Previous experience supporting senior executives, C-suite leaders, or other high-level professionals. nonprofit biomedical experience a bonus
- Strong experience managing complex calendars, scheduling, meetings, travel, and events.
- Highly proficient with MacBook/Mac OS and Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Excellent written and verbal communication skills, including experience drafting professional correspondence on behalf of executives.
- Ability to manage multiple priorities, shifting deadlines, and confidential information.
- Strong customer service skills and the ability to work professionally with a wide variety of internal and external stakeholders.
- Proactive, resourceful, flexible, and comfortable working independently while also collaborating with a team.
