Leave Administration Specialist (Temporary)
You are an experienced, detail-oriented leave administration professional who brings accuracy, empathy, and regulatory expertise to every employee interaction. You thrive in complex, multi-state environments and are trusted to administer leave and benefits programs with precision, discretion, and a strong commitment to compliance and employee experience.
Location: Marin County (Temporary Assignment)
This Position Pays: $35–$45 per hour (DOE)
What You Will Be Doing:

Administer and process leave of absence, disability, and accommodation requests in compliance with federal, state, and local laws, company policies, and collective bargaining agreements

Determine leave eligibility, prepare required notices, review medical certifications, and accurately designate leaves in HR and vendor systems

Serve as a knowledgeable resource to employees and managers, clearly communicating leave rights, responsibilities, timelines, and the interaction with PTO, workers’ compensation, and disability programs

Track and support intermittent and reduced schedule leaves in partnership with business units
-
Maintain up-to-date knowledge of FMLA, CFRA, ADA, and applicable state and local leave regulations

Process benefits enrollments, eligibility changes, and status updates in accordance with plan rules and deadlines

Partner with Payroll to ensure accurate deductions, wage impacts, taxes, and paid/unpaid leave transactions
-
Conduct audits, reconcile invoices, resolve discrepancies, manage retroactive changes, and support accurate benefit remittances

Prepare reports, census data, and documentation for audits and benefits renewals
-
Coordinate with vendors, brokers, and internal teams to resolve claims, enrollment, and eligibility issues
What You Bring:

Associate degree or equivalent combination of education and applied experience
-
3+ years of hands-on leave of absence administration with direct eligibility determination experience
-
Required experience administering California leave programs; multi-state experience preferred

Experience in unionized or multi-employer environments preferred

Working knowledge of FMLA, CFRA, ADA, HIPAA, and related regulations

Proficiency with HRIS and leave/benefits systems; Absencesoft and UltiPro Benefits Prime preferred

Intermediate Excel skills; working knowledge of Word and Outlook

HR or benefits certifications (CEBS, CBP, PHR, or equivalent) preferred; Spanish proficiency a plus

Strong attention to detail, confidentiality, and the ability to manage competing priorities with professionalism and integrity
