Job Summary
Payroll Specialist (CONTRACT)
You are detail-oriented Payroll Specialist who thrives in a fast-paced construction environment. In this role, you will support certified payroll administration, job setup, compliance tracking, billing support, and payroll-related reporting. The ideal candidate is highly organized, accurate, proficient in Excel, and able to quickly learn new systems and processes.
This position pays: $25-30/hour depending on experience
Location: Healdsburg, CA
What you will be doing:
- Assist with certified payroll processing and reporting
- Support payroll compliance requirements through LCPtracker, eMars, and DIR submissions
- Prepare and distribute payroll reports in contractor-specific formats
- Provide payroll backup coverage when team members are out
- Set up new jobs within company systems
- Create and maintain electronic job folders and documentation
- Gather project documents, assign cost codes, and enter job information
- Build and maintain billing templates for projects
- Track and manage recurring renewals and compliance deadlines
- Maintain spreadsheets for licenses, renewals, and compliance reporting
- Monitor vehicle and equipment records, ensuring required updates are completed every 90 days
- Assist with project submittals, including materials, supplies, and cost documentation
- Create and update submittal templates
- Export data from SharpSoft estimating software into Excel for reporting and analysis
- Maintain accurate records and ensure data integrity across multiple systems
- Support administrative and accounting functions as needed
What you bring:
- Previous payroll or certified payroll experience preferred
- Experience supporting construction, contracting, or project-based environments is highly desirable
- Strong Microsoft Excel skills, including spreadsheet creation and data management
- Ability to learn new software and systems quickly
- High attention to detail and accuracy
- Strong organizational and time management skills
- Experience managing multiple priorities and deadlines
- Reliable, dependable, and self-motivated work style
- Excellent written and verbal communication skills
- Experience with Sage, LCPtracker, eMars, DIR reporting, or SharpSoft is a plus
