Enhanced Care Management Administrative Assistant

You are a highly organized, detail-oriented administrative professional who enjoys supporting healthcare and community-based programs. You’re comfortable working with confidential information, coordinating client services, maintaining accurate records, and managing multiple priorities in a fast-paced environment. You’re collaborative, resourceful, and committed to helping individuals access the care and services they need.

Location: San Rafael, CA
This Position Pays: $24–$27/hour
Schedule: Part-time, approximately 20 hours/week with flexible scheduling
Duration: 1-year special project

What You Will Be Doing:

  • Provide administrative support to the Enhanced Care Management (ECM) Project Coordinator and Housing-Based Case Management team.
  • Support new client intake, ensuring required documentation, releases of information, and care plans are complete and accurate.
  • Compile and submit required ECM documentation, including Return Transmission Files and Treatment Authorization Requests.
  • Coordinate referrals and appointments with medical and behavioral health teams.
  • Maintain accurate client records, tracking data, program measures, initiatives, and grant requirements.
  • Use electronic health records and related systems to enter, track, and retrieve information.
  • Assist with research, data collection, reporting, and identifying solutions to improve processes.
  • Manage calendars, team communications, meetings, trainings, and webinars as needed.
  • Assist staff with client communications and administrative needs.
  • Collaborate with internal teams and community partners while representing Ritter Center’s mission and values.
  • Maintain strict confidentiality and protect sensitive patient information in accordance with HIPAA.

What You Bring:

  • Administrative experience, preferably in healthcare, social services, behavioral health, or a nonprofit environment.
  • Strong computer skills and proficiency with Microsoft Excel, Word, PowerPoint, and Outlook.
  • Excellent organization, calendar management, recordkeeping, and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to understand and communicate basic data and statistics.
  • Strong critical-thinking, analytical, problem-solving, and multitasking skills.
  • Experience handling confidential information and understanding of HIPAA requirements.
  • Ability to work effectively in a fast-paced community environment with frequent interruptions.
  • Healthcare, Medi-Cal, care coordination, EHR, or CalAIM/ECM experience is a plus.
  • Must meet applicable healthcare facility requirements, including TB testing and COVID-19 vaccination or approved exemption.
