Executive Assistant
You are a highly organized and proactive Executive Assistant who enjoys supporting business owners and keeping operations running smoothly. You thrive in a fast-paced environment, are detail-oriented, and excel at managing schedules, travel arrangements, expenses, and follow-up tasks. Experience with grants, funding, and expense tracking is a plus.
Location: Sonoma, Ca
This Position Pays: $30-40/hr DOE
Additional Details: 4-6 month assignment
Hours: 32-40 hours a week (five days onsite)
What You Will Be Doing:
- Provide administrative support to business owners and leadership.
- Manage calendars, appointments, and scheduling.
- Coordinate travel arrangements, including flights, hotels, and itineraries.
- Prepare agendas, meeting materials, and supporting documentation.
- Track, organize, and reconcile expenses.
- Follow up on projects, action items, and deadlines.
- Maintain electronic records and files.
- Assist with grant-related documentation, funding tracking, and reporting.
- Communicate with internal and external stakeholders professionally and effectively.
What You Bring:
- 3+ years of Executive Assistant or high-level administrative support experience.
- Experience supporting executives, business owners, or senior leadership.
- Knowledge of grants, funding, budgeting, or expense management preferred.
- Proficiency with Mac computers, Apple Calendar (iCal), and Apple Mail.
- Strong working knowledge of Microsoft Office Suite and Google Workspace.
- Excellent organizational, communication, and time management skills.
- Ability to manage multiple priorities while maintaining accuracy and confidentiality.
- Strong follow-through and attention to detail.
