Payroll Specialist (CONTRACT)
You are a detail-oriented Payroll Specialist with strong experience managing multi-state payroll operations in a fast-paced, global environment. You thrive in high-volume payroll processing and have hands-on expertise with ADP Workforce Now, payroll compliance, month-end close activities, and employee benefits administration. This role requires someone who can work independently, maintain strict confidentiality, and partner cross-functionally with HR, Finance, and external vendors to ensure accurate and timely payroll processing.
This position pays: $30/hour depending on experience
Location: Fully Remote (must work PST hours)
What you will be doing:
- Process full-cycle multi-state U.S. payroll for exempt and non-exempt employees using ADP Workforce Now
- Support Canada and international payroll coordination, including reconciliations and payroll data transmissions
- Ensure payroll compliance with federal, state, and local regulations
- Manage payroll-related deductions including 401(k), benefits, garnishments, and equity-related compensation
- Partner with HR regarding compensation changes, employee benefits, disability payments, and payroll inquiries
- Prepare payroll journal entries, accruals, and support month-end close activities
- Reconcile payroll accounts and ensure payroll costs are recorded accurately in the general ledger
- Prepare and remit payroll tax filings, payments, W-2s, and related reporting
- Assist with 401(k) administration and support audits and compliance activities
- Maintain and update payroll procedures, training documentation, and process improvements
- Support SOX compliance, segregation of duties, and internal controls related to payroll processing
- Work closely with internal and external auditors to provide payroll documentation and audit support
- Generate ad hoc payroll and operational reports as needed
- Maintain accurate employee data across payroll and financial systems
What you bring:
- 5+ years of payroll processing experience in a multi-state environment
- Strong hands-on experience with ADP Workforce Now (required)
- Experience processing payroll for U.S. employees; Canada payroll exposure strongly preferred
- Knowledge of payroll taxes, deductions, wage laws, and compliance regulations
- Experience supporting month-end close and payroll accruals
- Prior 401(k) administration experience
- Intermediate to advanced Excel skills including Pivot Tables and VLOOKUPs
- Experience supporting audits and working within SOX-compliant environments
- Ability to manage confidential information with accuracy and discretion
- Strong communication and organizational skills with the ability to work independently in a remote environment
- Experience with NetSuite, Concur, OpenAir, or Equity Edge Online is a plus
- Prior experience in software, technology, or publicly traded company environments preferred
