AP Specialist – Contract
Healdsburg, CA – Onsite
You are an Accounts Payable Specialist responsible for the day-to-day accounts payable functions, ensuring all payments are processed accurately and on time. This role supports internal departments and external vendors while maintaining compliance with reporting requirements and company policies.
This position pays: $28.00 to $30.00 per hour
What you will be doing:
- Prepare vouchers and approved invoices for payment; process payments in a timely manner (check, ACH, Auto ACH, third-party ACH, and wire transfers)
- Coordinate with departments to secure proper payment approvals
- Maintain accounts payable files and records; process new credit applications as needed
- Manage vendor W-9 documentation and ensure accurate 1099 reporting; prepare and submit annual 1099 filings
- Respond to vendor and employee inquiries; resolve invoice discrepancies and oversee expense reimbursements
- Prepare weekly accounts payable reports and payment summaries for executive leadership
- Process seasonal crop payment worksheets for growers (Fall and Spring)
- Analyze and track accounts payable balances; prepare account analyses and special project reports as needed
- Retrieve and distribute company mail; maintain annual file setup and archiving
- Compile sustainability data from AP invoices for annual reporting
- Perform additional duties and special projects as assigned
What you bring:
- Associate’s degree (A.A.) or equivalent experience; 3–5 years of related accounts payable experience
- Experience with Microsoft Dynamics 365 Business Central (Business Central)
- Intermediate to advanced proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong understanding of 1099 reporting requirements and payment processing methods
- Exceptional attention to detail and accuracy in data entry and financial documentation
- Strong analytical, organizational, and problem-solving skills
- Excellent written and verbal communication skills
- Ability to manage confidential information with discretion
- Ability to work independently, prioritize tasks, and meet deadlines in a dynamic environment
- Strong customer service skills with internal teams and external vendors
