Leave Administration Specialist
San Rafael, CA

Join The Pasha Group as a Temporary Leave Administration Specialist, where you’ll play a critical role in administering enterprise leave of absence programs and supporting benefits administration across a complex, multi-state organization
This position pays: $35.00 to $45.00 per hour
What you will be doing:
Administer, Advise & Safeguard Leave and Benefits Programs
- Take ownership of leave and benefits administration with a focus on compliance, clarity, and employee experience
- Leave Administration: Receive, review, and process leave of absence and disability accommodation requests in compliance with federal, state, and local laws, company policy, and collective bargaining agreements
- Eligibility & Documentation: Determine eligibility, prepare and distribute required notices, request and review medical certifications, and designate leaves accurately in HR and vendor systems.
- Employee & Manager Guidance: Clearly communicate eligibility, documentation, timelines, and responsibilities to employees and managers; advise on the interaction of leave laws with PTO, workers’ compensation, and disability programs.
- Intermittent & Reduced Leave Support: Assist business units in tracking and accounting for intermittent and reduced schedule leaves.
- Regulatory Expertise: Maintain current knowledge of FMLA, CFRA, ADA, and applicable state and local leave and accommodation laws.
- Support benefits administration with precision and strong cross-functional coordination.
- Benefits Transactions: Process enrollments, eligibility changes, and status updates in HR and vendor systems, ensuring compliance with plan rules and timelines.
- Payroll & Deductions Coordination: Partner with Payroll to manage benefit-related deductions, wage impacts, taxes, and paid/unpaid leave transactions.
- Audits & Reconciliation: Perform regular audits of leave and benefits programs; reconcile invoices, research discrepancies, manage retroactive changes, and coordinate accurate remittances.
- Reporting & Renewals: Prepare regular and ad hoc reports, census data, and supporting documentation for audits and plan renewals.
- Vendor & Broker Coordination: Support resolution of claims, enrollment, and eligibility issues with vendors, brokers, and employees.
What you bring:
- Associate degree or equivalent combination of relevant coursework and applied experience
- 3+ years of leave of absence experience with direct responsibility for eligibility determinations
- Required experience administering leave programs in California; multi-state experience preferred
- Experience in union or multi-employer environments preferred
- Working knowledge of FMLA, CFRA, ADA, HIPAA, and related regulations
- Proficiency with HRIS and benefits/leave management systems; Absencesoft and UltiPro Benefits Prime preferred
- Intermediate Excel skills; basic Word and Outlook skills
- HR/benefits certifications (CEBS, CBP, PHR, or equivalent) preferred; Spanish proficiency a plus
