Payroll Coordinator
San Rafael, CA – Onsite

You are Payroll Coordinator is responsible for the accurate and timely execution of full-cycle payroll processing and reporting for multiple employer entities, including multi-state union and non-union payrolls with varying pay frequencies. This role ensures compliance with payroll tax laws, collective bargaining agreements, and corporate policies while delivering excellent service and support to employees and managers.

This position pays: $30-35 per hour

What you will be doing:

  • Execute full-cycle payroll processing, including data entry, auditing, validation, reconciliation, and distribution.
  • Process employee time and attendance records and authorized payroll data changes accurately and on time.
  • Validate payroll results against tax laws, collective bargaining agreements, and internal policies.
  • Conduct regular audits of wages, taxes, benefits, accruals, and related payroll outputs.
  • Prepare, reconcile, and distribute payroll, timekeeping, and compliance reports.
  • Coordinate wage garnishments, benefit trust payments, retirement plans, and union dues remittances.
  • Maintain accurate electronic and physical payroll records and audit-ready documentation.
  • Provide responsive support to employees and managers, including payroll inquiries and system access assistance.
  • Deliver training and guidance on payroll systems, timesheet entry, and self-service tools.
  • Recommend and support process improvements, quality initiatives, audits, and special projects as assigned.

What you bring:

  • High school diploma or equivalent required; associate degree in Business, Finance, Accounting, or related coursework preferred.
  • Certified Payroll Professional (CPP) or equivalent certification preferred.
  • Minimum of 2 years of recent payroll processing experience.
  • Experience with multi-state and union payrolls preferred.
  • Familiarity with payroll audits, analytics, and reporting.
  • Strong experience with HRIS/payroll and timekeeping systems; UKG/UltiPro, ADP Workforce Now, and Kronos Workforce Ready preferred.
  • Solid understanding of payroll concepts, wage and tax regulations, and garnishment processing.
  • Intermediate proficiency in Microsoft Excel; intermediate skills in Word and Outlook.
  • Strong analytical, organizational, and problem-solving skills with attention to detail.
  • Excellent verbal and written communication skills and ability to handle confidential information appropriately.
