Administrative Operations Specialist
You are a detail-oriented, proactive, and eager-to-learn professional who thrives in a small-office environment. You are a strong communicator (both verbal and written), can multitask effectively, and handle confidential information with discretion. You enjoy working with different personalities, take direction well, and bring a sense of humor and thick skin to your day-to-day interactions.
Location: Petaluma
Schedule: 7:00 AM – 3:00 PM (TEMP TO HIRE)
This Position Pays: $30–$35 per hour
What You Will Be Doing:
- Support Accounts Payable with full-cycle A/P tasks, including year-end 1099s, W-9s, and closing procedures.
- Assist with payroll processing (weekly PR) and maintain confidentiality.
- Organize insurance and registration for a fleet of 45 vehicles: coordinate with field staff and vendors.
- Perform journal entries, including intercompany transactions, and handle basic accounting tasks.
- Utilize Excel (pivot tables, filtering), Word, Outlook, PowerPoint, and multiple internal software programs.
- Conduct research, manage multiple priorities, and maintain accurate documentation.
- Work independently as needed while collaborating with a small team.
What You Bring:
- 5+ years of strong A/P experience (does not need to be at a manager level).
- Proficiency in Great Plains (ERP), or ability to learn quickly.
- Solid Excel skills; working knowledge of Word, Outlook, and PowerPoint.
- Good math, problem-solving, customer service, and phone communication skills.
- Ability to stay organized, manage competing deadlines, and adapt to shifting workloads.
- Construction industry experience is a plus.
