Administrative Project Coordinator

Location: Emeryville, CA (Full Time Onsite) TEMP TO HIRE
This Position Pays: $26.62 – $39.92 per hour
What You Will Be Doing
- Independently manage office-related projects and coordinate office operations.
- Proofread, edit, and format documents to meet firm and client standards.
- Provide administrative support to Unit Managers, Project Managers, and corporate accounting, including AR/AP, purchasing, and office services.
- Assist with marketing needs, including proposals, qualifications packages, and creative PowerPoint presentations.
- Coordinate project communications with subconsultants and team members.
- Partner with other administrative staff to ensure smooth workflows and a cooperative environment.
- Oversee office tasks such as vendor coordination, facilities requests, equipment maintenance, supplies, and shipping.
- Organize internal meetings and office events.
- Respond to client inquiries and route them to the appropriate staff.
- Perform general administrative tasks such as copying, scanning, filing, and occasional errands.
What You Bring
- 4 years relevant office experience, Associate’s + 6 years, or 10+ years of relevant experience.
- Strong customer service and interpersonal skills with the ability to multitask and prioritize.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with InDesign, Workday, Deltek Vision, Asana, Project Team, or Bluebeam a plus.
- Excellent written, oral communication, and proofreading skills.
- Integrity, flexibility, and ability to adapt to changing priorities and deadlines.
- Ability to collaborate across teams and manage competing demands in a fast-paced setting.
- Flexibility to work overtime when needed.
