Assistant Controller (CONTRACT)
You are a detail-oriented and proactive Assistant Construction Controller to support financial operations and administrative functions across our construction and HVAC divisions. This role assists in financial reporting, job costing, payroll, HR coordination, fleet oversight, and insurance compliance. The ideal candidate has experience in construction or HVAC finance and is comfortable managing multiple operational areas in a fast-paced environment.
This position pays: $40-50/hour depending on experience
What you will be doing:
- Financial & Project Controls:
- Assist with tracking and managing project budgets, cost codes, and financial forecasts
- Maintain accurate job costing records and monitor project performance
- Review and process accounts payable and receivable for all projects
- Reconcile general ledger accounts and assist in preparing monthly and year-end financial statements
- Support financial audits, internal controls, and process improvements
- Assist with AIA billing, change orders, and work-in-progress (WIP) reporting
- Payroll & HR Administration:
- Process biweekly payroll
- Maintain employee records, benefits administration, and onboarding documentation
- Ensure compliance with labor laws, prevailing wage regulations, and company policies
- Coordinate with management on recruiting, hiring, and employee relations
- Fleet Management:
- Oversee company vehicles including registrations, inspections, maintenance schedules, and GPS tracking
- Monitor fuel usage, mileage logs, and equipment assignments
- Ensure compliance with DOT and safety regulations
- Business Insurance & Risk Management:
- Manage insurance policies including general liability, workers’ comp, vehicle, and builder’s risk
- Coordinate COis (Certificates of Insurance) for vendors and subcontractors
- Monitor risk exposures and maintain documentation for claims and safety incidents
- Ensure contract compliance with legal, insurance, and bonding requirements
What you bring:
- 5–7+ years of accounting experience in the construction, HVAC, or related project-based industries
- Proficiency in QuickBooks and Excel (including pivot tables, lookups, and reconciliations)
- Solid understanding of job costing, WIP reporting, and full-cycle accounting
- Experience with biweekly payroll processing and basic HR administration
- Strong organizational skills and attention to detail, with the ability to multitask in a fast-paced environment
- Proven ability to work independently and collaboratively with field and office teams
- Excellent verbal and written communication skills
- Comfortable handling fleet and insurance compliance responsibilities
- Bachelor’s degree in Accounting or related field preferred (or equivalent experience)
