Full Charge Bookkeeper (CONTRACT)
You are overall responsible for maintaining the General Ledger and subsidiary ledgers. Knowledge of computerized accounting systems, primarily QuickBooks as well as other programs used by the company. Prepare monthly and year-end financial statements, reconciliations and supporting schedules as required. Respond to requests for information from external CPA’s and other governmental organizations. Backup to the Controller for all activities under her purview.
This position pays: $35-45/hour (depending on experience)
What you will be doing:
- General Accounting
- Maintain the General Ledger across multiple entities
- Prepare journal entries in QuickBooks
- Print monthly financials: P&L, Balance Sheet, and detailed GL reports
- Reconcile bank accounts and other ledger accounts
- Finance & Banking
- Monitor daily cash activity and import transactions into QuickBooks
- Reconcile daily convenience store activity and import IIF files from SSCS
- Enter AP invoices into QuickBooks and process weekly check runs
- Upload check runs to the bank (positive pay recognition via CSV files)
- Payroll
- Record payroll entries via journal entries using a payroll clearing account
- Medical, Dental, LTD, ADD Plans
- Process and record recurring benefit-related invoices in QuickBooks
- Month-End Close
- Complete all bank reconciliations (checking, savings, credit cards)
- Reconcile key GL accounts, including AR (from SSCS) and AP (from QuickBooks)
- Reconcile payroll accounts: workers’ comp, vacation/sick accruals, benefits
- Calculate COGS (fuel use, transfers, purchases, freight, etc. from SSCS)
- Post inventory/fixed asset transfers
- Post all sales and gallonage from SSCS
- Perform monthly intercompany reconciliations and submit billing to CPA
- Train support staff and serve as a backup to the Controller
- Assist the Controller with various accounting and administrative activities
- Support additional projects and tasks as needed
What you bring:
- Solid knowledge of accounting principles, debits/credits, and reconciliation
- Experience using QuickBooks Desktop (2021) and Excel
- Comfort working across multiple entities and handling intercompany transactions
- Ability to work independently, take initiative, and manage priorities
